I remember when there was a time when we were truly a family business. My boys in they're early teens, running around overpouring paint, and my wife would constantly remind me to make sure I made introductions and to remind people not to use our aprons as paper towels. Make no bones about it, we are still a family business and the family comes through when I need them. I know growing a paint and sip business from cozy family gatherings to bustling community events sounds like a dream come true. But here’s the catch: when your “team” is mostly your wife and kids, juggling schedules starts to feel like herding cats. You want to expand, take on festivals, and partner with local venues, but you can’t do it all alone. Hiring outside help seems like the obvious fix, yet the reality of legal hiring, unpredictable hours, and finding the right people quickly turns that simple idea into a complex puzzle. Let’s unpack how to tackle these staffing challenges with a bit of humor and a lot of practical advice. I believe I have a plan as to accomplish my staffing dilemma and a path forward.

Understanding the Unique Staffing Needs of a Paint and Sip Business

Paint and sip events are part art class, part social gathering, and part party planner’s headache. Your staff needs to be flexible, friendly, and ready to handle everything from mixing paint colors to calming a nervous first-time painter. Since your family has been your go-to crew, you know the value of trust and teamwork. But family members have their own lives, and you can’t always count on them to be available.

The challenge is finding people who:

  • Enjoy creative environments

  • Can work irregular, per diem hours

  • Are comfortable with a mix of customer service and hands-on art support

  • Understand the casual, fun vibe of paint and sip events

This isn’t your typical 9-to-5 gig, so your hiring approach needs to reflect that.

Legal and Logistical Hurdles of Hiring Outside Help

Hiring someone officially means dealing with paperwork, taxes, and benefits. Suddenly, you’re not just handing out a few bucks or promising a dinner date. You need to:

  • Register for workman’s compensation insurance

  • Handle unemployment benefits

  • Manage tax withholdings and reporting

  • Comply with labor laws for part-time or per diem workers

These steps can feel overwhelming, especially when your business is still small and flexible. But skipping them risks fines or legal trouble down the road. It may be worth consulting a local small business advisor or accountant to get the basics right.

Finding the Right People Without Losing Your Mind

You need staff who fit your business style and can jump in when you need them. Here are some ways to find those gems:

  • Word of Mouth

Ask your current customers, friends, and family if they know anyone who loves art and social events. Personal recommendations often lead to reliable hires.

  • Local Community Boards and Groups

Post on neighborhood Facebook groups, community centers, or local art schools. Students or hobbyists might be eager for flexible work.

  • Event Partnerships

Since you collaborate with local venues, ask if they have staff interested in extra shifts or side gigs.

  • Job Boards with Clear Descriptions

Be upfront about the nature of the work, the casual environment, and the per diem schedule. Honesty helps attract the right candidates.

Training and Retaining Your New Team

Once you find people, training them quickly and effectively is key. Create a simple guide covering:

  • Load in and setting up supplies in preparing for a paint event

  • Customer interaction tips

  • Handling common questions or issues

  • Basic load out and cleanup procedures

Keep training light but thorough. Your new team should feel confident but not overwhelmed.

Retention is about respect and flexibility. Since hours vary, be upfront about scheduling and pay.

Preparing for Success Means Planning Ahead

You’ve reached a turning point where your business needs more hands on deck. Waiting too long to solve staffing issues can stall growth or lead to missed opportunities. Start small:

  • Hire one or two reliable part-time helpers

  • Use trial events to test how they fit with your style

  • Gradually build a team that shares your passion and work ethic

Remember, every big business started with a small, imperfect team. Your paint and sip venture is no different. For what it's worth, I know this blog post is also part message in a bottle. If by chance you're a small business owner, and you face the same challenges and found a way through, I will take any guidance you may have. Please comment and leave tips.
